The Find and Replace feature helps you find a certain word or phrase throughout a document or a spreadsheet. It will also allow you to correct or change the word or phrase.

Finding is not limited to letters and numbers; you can search for a phrase, including punctuation and spaces as well.

Finding a Specific Word or Phrase

  1. Press Control + H for the Find and Replace dialog.
  2. Type in the word or phrase that you are looking for.
  3. Tab to Find Next and press Enter.

When the desired text is found, the text is highlighted, the search is paused, and the Find and Replace dialog box remains open. You can then press Escape to go to the first occurrence of the text.

Or you can press Enter again to move to the next occurrence of the text.

Press Escape to close the Find and Replace dialog box when finished.

If the text cannot be found, a message box is displayed indicating the text does not appear in the document/spreadsheet.

Replacing a Specific Word or Phrase

  1. Press Control + H for the Find and Replace dialog.
  2. Type in the word or phrase you want to replace.
  3. Press Tab and type in the new corrected word or phrase.
  4. Tab to the Replace button to find the first occurrence and replace it.
  5. Or Tab to the Replace All button to correct all occurrences at once.

You can press Escape to come out of the Find and Replace dialog at any point, so that you can double check what is happening in the document/spreadsheet. Once checked, you can press Control + H again and it will remember the word or phrase that you were searching for.

If you are using Word and you start searching for a word or phrase part of the way through a document, once you come to the end of the document, Word will ask if you want to continue from the beginning.

If you are using Excel, the search will just cycle around and around the occurrences.

Remember, you can always press Control + Z to undo if you replace too much!
